How to do a club's everyday jobs in Clubroom, step by step: from a team's weekly training to the yearly count for DIF.
Club and team
Install Clubroom on your phone or computer
Put Clubroom on your home screen or desktop so it opens like an app, and sign in there with the 6-digit code from the sign-in email.
Set up your club
Create the club in three short steps, work through the checklist on Home, then give the club its logo, colour and contact email in Settings.
Switch from your existing system in an evening
A dated plan for the move: one evening to set up payment, import the list and welcome your members, a week later a nudge to those who still owe, and the old system kept until your CFR report is in.
Invite your team
Bring your treasurer, chair and committee into Clubroom, give each the right role, and change or remove them when the committee changes.
Hand over the club
When the chair or treasurer changes after the general meeting, make the new person owner, and check the few settings that point at the old one.
Insights and attendance
See how the club grows, who renews and stays, what came in, and how each team turns up to its events, down to each member.
Guides
How to run a team
A tag for the team, a segment that follows it, a weekly training for that segment, attendance after each session, and one email to everyone on the team.
Send a newsletter to a group
Email all your active members, or only a segment such as a team or the unpaid, with a test to yourself first. Members who said no to club news are left out.
Events and answers
Create an event, pick who it's for, send the invite, and follow who's going, who's on the waitlist and who came.
Members
Import your members from another system
Bring your member list from Conventus, Klubmodul, Holdsport, ForeningLet, MinForening or a spreadsheet, check every column and row, and undo it within 24 hours if something's off.
Report your member numbers to CFR
Each winter, Danish sports clubs report their members by age and gender at medlemstal.dk. Clubroom counts the grid for you, so you only type it in.
Members' own links
Members never need a password. What each of their links opens, how long it works, and how to send one again when it's lost.
Data requests and export
When a member asks for a copy of their data or to be deleted, what you do and what Clubroom does for you, and how to get your member list out as a spreadsheet.
Tags, custom fields and segments
Make tags and questions of your own, put them on members one at a time or many at once, filter the members list, and save a filter as a segment for broadcasts and events.
Join links and the join form
The club's join page, join links for a team or an intake, what the join form asks, birth date and gender, a "Which team?" question that tags new members, and spots with a waiting list.
Parents who pay for their children
Set a payer on a member, such as a parent, so bills, reminders and receipts go to them. One at a time, many at once, or from an import.
Departments and fee periods
Split the club into departments such as Football and Badminton, let members hold a membership in each, share a join link per department, and set when each one's fees are paid.
Fees and payments
Collect membership fees
Set a price on each membership type, tell members how to pay, record what comes in, match bank transfers from a statement, and remind the ones who haven't paid.
Take payments online
Connect the club's own Vipps MobilePay account, offer online payment to members, and let Clubroom record each payment and send the receipt.
Match bank transfers to members
How the payment reference works, how to get a statement out of your bank, what each group on the review page means, and how to record a single transfer from one line.
Renewals and reminders
When each membership ends, what the statuses mean, when Clubroom reminds members for you, and how to chase the rest yourself.
Get MobilePay for online payments
For a Danish club without a Vipps MobilePay agreement yet. What you need, what it costs, how to apply, and how to collect fees in the meantime.
