Volunteers come and go. When the person who set up Clubroom steps down, hand the club over before they leave, so the club never depends on someone who's no longer there. Members, payments and history all stay where they are; only who runs it changes.
1. Make the new person an admin
Only an admin can take the club over.
- Go to Settings › Team.
- Not on the team yet? Click Invite, type their Email, pick Admin, and click Send invite. See Invite your team.
- Already on the committee? Open the menu on their row, and click Make admin.
Clubroom has one club per person for now, so they can't take it over if they already run another club with the same email.
2. Send the handover
- On Settings › Team, open the menu on the new person's row.
- Click Hand the club over…, then Send handover email.
Their row says Handover sent. Nothing changes until they confirm, and you can still Call off the handover from the same menu. Sending a new one replaces the old.
3. They confirm
- They open the email, and click Review and confirm. The link works for 7 days.
- They sign in with the address the email went to, if they aren't already.
- They click Become the owner of your club.
They're the owner now, and you're an admin. Everything you did stays in Activity under your name.
4. Check what points at the old owner
A few settings belong to a person, not the club. Go through them together:
- Settings › Club, Contact email: members' replies go here. Left empty, they go to the owner's email, so they now reach the new owner. A shared club address is best, so this doesn't happen again.
- Settings › Payments, under Ways to pay: the bank account or MobilePay number members pay to. Change it if the club's account changes hands too.
- Settings › Payments, under Online payment: if the payment provider's keys belong to the old treasurer's login, the new one gets new keys from the provider's portal and clicks Replace keys.
5. Step back
You can stay on as an admin, or as committee to follow along. If you're leaving for good, the new owner opens the menu on your row, and clicks Remove from team…. Your account stays, and they can invite you again later.
Want to delete your account too? Go to Settings › Your account, and click Delete account…. While you're the only owner of a club, Clubroom asks you to hand it over first.
6. If the owner is already gone
Only the owner can hand the club over, so ask them to: it takes two minutes, from any device they can sign in on. If nobody can reach them, email support@getclubroom.com from an admin's address, with the club's name, and we'll look at it with you.
