Setting up takes a few minutes. You can change everything you pick here later, in Settings.
Right now Clubroom is in pilot, so only invited clubs can get started. Sign in with the email address your invite went to. The invite lasts 14 days.
1. Create the club
The first time you sign in, Clubroom asks three things.
- Let's set up your club: fill in Your name, the Club name and the Language members read your join page and emails in. Kind of club is optional; pick one and Clubroom suggests membership types that fit. Click Create club.
- Make it look like your club: pick a Colour for the membership card and join page, and check the Currency and Time zone. Under Advanced you can set a Member number prefix. Click Continue, or Skip, use these to keep the defaults.
- Where are your members today?: pick In a spreadsheet, In another system, I'll add them as they join or Just looking around. If they're in another system, pick it, and Clubroom shows you how to export from it. Click Finish.
2. Work through the checklist
Home now shows Get your club going, four steps from a new club to its first payment. Each has a button that takes you to the right place:
- Set up how members pay: Set up payment with MobilePay, bank transfer, cash or online payment. See Collect membership fees.
- Bring in your members: Import a list, or Add members one by one. See Import your members from another system.
- Welcome your members: Send welcome, with their member card and how to pay. Members you import hear nothing from Clubroom, reminders included, until you do.
- Get your first payment in: it ticks off when the first payment comes in, online or recorded by you.
Done with it, or don't need it? Click Hide checklist.
3. Give the club its look
- Go to Settings › Club.
- Click Upload logo. A square PNG, JPG or WebP works best. Without one, the club's initials are used.
- If your logo is drawn in white or one colour, set Logo background to None.
- Watch the preview of the join page and card change as you go, then click Save changes.
4. Decide where replies go
Emails to members come from your club's name "via Clubroom". When a member replies, it goes to the Contact email on the same page. Leave it empty, and replies go to the owner's email. A shared address like the club's own mailbox is best, so replies don't land with one person.
Language for members is the language members see on their pages and in email, unless they choose their own.
5. Check the join page
- Go to Memberships, and click Preview signup page. That's what someone sees when they open your join link.
- Click Copy join link next to it, and paste the link wherever your members will see it. The same button is on Home, and on Members it's called Share join link.
To ask new members for their birth date and gender for your yearly count, go to Settings › Members and switch on Ask for birth date and gender on the join form. See Report your member numbers to CFR.
