A club shouldn't depend on one person's login. Invite the people who help run it, and each signs in with their own email. Everything they do shows in Activity under their name.
1. Pick the right role
Each person on the team has one of three roles:
- Owner: everything, including the team, handing the club over and deleting it. A club has one owner, usually whoever set it up.
- Admin: members, payments, memberships, settings and the team. They can also send newsletters, run events and export. Give this to the treasurer and anyone else who does the work.
- Committee: can see members, activity and the dashboard, but can't change anything. Good for board members who want to follow along.
If a committee member tries to change something, Clubroom tells them to ask an owner or admin.
2. Send an invite
- Go to Settings › Team.
- Click Invite.
- Type their Email, pick a Role, and click Send invite.
They get an email with a link. The link works once, for a week.
3. What they see
- They open the link in the email.
- If they're not signed in, they click Email me a sign-in link and sign in with the address you invited. New to Clubroom? The same link makes their account.
- They type Your name, which is how the rest of the team sees them, and click Join with your club's name.
Signed in with another address? The invite page says so and offers to sign out, so they can sign in with the invited one.
For now a person can run one club in Clubroom. If they already run another club, ask them for a different email address to invite.
4. Follow up on an invite
Invites that haven't been used yet are listed under Invites on the same page, with when each one expires.
- Lost the email, or the week ran out? Open the invite's menu and click Send a new link. The old link stops working.
- Invited the wrong address? Click Cancel invite.
5. Change someone's role
- Go to Settings › Team, and open the menu on the person's row.
- Click Make admin or Move to committee.
The change takes effect straight away. Only owners and admins can change roles.
6. Remove someone
When someone leaves the committee:
- Open the menu on their row, and click Remove from team….
- Confirm with Remove.
They can't open your club any more. Their account stays, so you can invite them again later, and their past changes stay in Activity.
Leaving as the owner? Hand the club over first. See Hand over the club.
