Departments

Several departments, one club.

Football, badminton and gymnastics each run their own memberships and fee periods, while the club keeps one member list, one ledger and one CFR count.

Each department runs its own fees

Give each department its own membership types and prices, and its own fee periods. Football can bill August to July while badminton bills September to June, and both can have a type called Junior.

Join one department, or three

The join page asks for a department first, then a membership in it. Someone in two departments adds another and joins both in one go, with a payment for each.

CFR per department, worked out

The CFR count gives each department its own grid, the way CFR asks for one form per activity. A member in two departments counts in each. Leave out any department CFR doesn’t ask about.

The rest of running several departments

  • Fee periods that fit

The club has its own calendar, say August to July. A department can pick another, and one type can too, like the youngest paying once a year. Rolling from the join day still works.

  • A payment per membership

Each membership has its own renewal, reminders and bank reference, so a bank transfer finds the right one.

  • Add a department later

A member adds another department from their own membership card, without joining again.

  • A join link per department

Copy a department’s join link, and the join page opens with it already picked.

  • Columns per department

The member export has a membership and a paid-through column for each department.

  • A base fee for the whole club

A membership type in no department, held next to the department ones, for a fee every member pays.

Questions clubs ask

Do we need departments?

No. A club with one activity leaves them out and sees no change. Add departments when you run more than one activity, each with its own fees.

Can a member be in two departments?

Yes. A member holds one membership in each department they join, plus a club-wide one if you have it. Each has its own type, renewal and payment.

Can departments pay at different times of year?

Yes. Each department can pick its own fee periods, and a single membership type can have its own too. Types that run from the join day or by calendar year work too.

Is there a discount for a second department?

No. Each membership type is priced in full, so a member in two departments pays both prices.

How does CFR count a member in two departments?

Once in each, as CFR asks when an activity has its own fee. You can also add several departments into one form.

Bring every department in.

Clubs join in small groups so each one gets proper help moving over. Leave your email and we’ll tell you when it’s your turn.
