Switch systems

Moving over takes an evening.

Export the member list from your old system, drop it in, and check every row before anything is saved. Groups become tags on the way.

It knows your old system’s export

Clubroom looks for the exports of Conventus and Klubmodul and matches the columns for you, and you change any it got wrong. Groups and teams become tags, so your segments are ready from day one.

A welcome that does the work

When the list looks right, email each member a welcome with their own links: their card, their details and a button to pay if they still owe. Send yourself a test first.

    Welcome to Harbour Rowing Club

Hi Astrid, Harbour Rowing Club now keeps its member list in Clubroom.

    The details of moving

    • Any spreadsheet works

A CSV or Excel file from any system, Excel or Google Sheets, with a row of column names. Title rows above it are skipped.

    • Membership types come along

Values in the type column are matched to your types by name, or become new ones.

    • No doubles

Members already in the list, by email, are skipped. A person listed once per team becomes one member with all their teams.

    • An undo for 24 hours

If the import went wrong, undo it within a day and start again.

    How the move goes

    1. 1

      Set up how members pay

Add MobilePay, bank transfer, cash or online payment, and your membership types with their prices.

    2. 2

      Export from your old system

Download the member list as CSV or Excel, with a paid-through date if it has one.

    3. 3

Drop it in and check it

Clubroom matches the columns. Check every row, and see who a welcome would ask to pay. Nothing is emailed yet.

    4. 4

Welcome them, then chase the rest

Email each member a welcome with their own links, and a button to pay if they still owe. A week later, one click emails everyone who hasn’t paid.

    Questions clubs ask

Which systems can we move from?

Anything that exports a CSV or Excel file. Clubroom looks for the exports of Conventus, Klubmodul, Holdsport, ForeningLet and MinForening and matches their columns; with any other file it guesses from the column names, and you check.

    What about our own fields?

The import brings names, contact details, birth date, gender, join date, membership type, paid-through date and groups. Every other column can go into one of your own fields, or a new one the import creates for it, with its kind guessed from the values.

Do members have to sign up again?

No. They are on the list as soon as you import, and hear nothing until you email the welcome. It brings their own links, and a button to pay for anyone who still owes.

    What if something goes wrong?

You check every row before importing, and you can undo an import within 24 hours.

    Can we leave again?

Yes. Export the whole member list as a CSV at any time, with contact details, membership, paid-through date, tags and every one of your own fields. Payments export on their own.

    Bring the list over.

Clubs join in small groups so each one gets proper help moving over. Leave your email and we’ll tell you when it’s your turn.
