Take payments online

Connect the club's own Vipps MobilePay account, offer online payment to members, and let Clubroom record each payment and send the receipt.

On this page

With online payment, members pay when they join or renew, and their membership starts straight away. Nobody has to check the bank or record anything: Clubroom records the payment and emails the member a receipt.

The money goes straight to the club's own account with the payment provider. Clubroom never holds it. Right now the provider you can connect is Vipps MobilePay, for clubs in Denmark, Finland, Norway and Sweden.

1. Get the keys from Vipps MobilePay

Your club needs Betalingsintegration (Payment integration) from Vipps MobilePay. If you only have a MobilePay number for people to send money to, that's not enough for this. Ask Vipps MobilePay for Betalingsintegration first.

  1. Sign in to the Vipps MobilePay business portal.
  2. Find the API keys for the club's sales unit. There are four: the Merchant Serial Number (MSN), the client_id, the client_secret and the Ocp-Apim-Subscription-Key.

Not sure where they are? The How to find the keys link in the next step opens the provider's guide.

2. Connect the provider

  1. Go to Settings › Payments.
  2. Under Online payment, click Connect provider.
  3. In Choose a payment provider, pick Vipps MobilePay.
  4. Copy all the keys from the portal at once, and paste them into the first field. Clubroom spreads them out over Sales unit number, Client ID, Client secret and Subscription key. Check each one, or fill them in by hand.
  5. Click Connect.

Clubroom tries the keys with the provider before it saves them, and stores them encrypted. When it's done, the panel shows Ready.

3. Offer it to members

Connecting isn't enough on its own: members only see online payment once it's one of your ways to pay.

  1. On the same page, under Ways to pay, click Add a way to pay.
  2. Pick Online payment as the Way to pay.
  3. Leave Show to members on, and click Add.

Members see your ways to pay in the order they're listed. Move Online payment up to show it first. You can still offer bank transfer, MobilePay or cash beside it. See Collect membership fees.

4. What members see

  1. On the join page, they pick their membership and click Pay 300 kr. and join (with your price). On their renew page, the button is Pay 300 kr..
  2. They finish paying at Vipps MobilePay.
  3. They come back to a page that says they're a member, and get the receipt by email.

Someone joining several departments clicks Join for 400 kr. instead, then pays each membership on its own with its Pay for button.

If someone leaves before paying, nothing is charged, and they can try again from the same page.

5. Find the payments

Online payments show up under Payments on their own, like any other payment, and the member's status changes to paid at once. They're part of Export for bookkeeping too.

Once members can pay online, Clubroom can also send renewal reminders for you. See Renewals and reminders.

6. Refund a payment

  1. Go to Payments, open the menu on the payment's row, and click Cancel payment….
  2. Switch on Refund it too. Clubroom refunds the full amount through the provider.
  3. Write a Reason. The next treasurer will read it, so say what happened.
  4. Click Cancel payment.

The payment stays in the history with a reversal beside it, and the member loses the period it paid for. If the provider doesn't manage the refund, the row says Refund failed: try again, or refund it in the provider's portal and mark it refunded.

7. If something goes wrong

  • Failing means Clubroom can't reach the provider with your keys. It keeps trying. If it stays, click Replace keys and paste fresh ones from the portal.
  • To pause online payment for a while, edit Online payment under Ways to pay and switch off Show to members. The provider stays connected.
  • To stop for good, click Disconnect. Clubroom deletes the keys, and members stop seeing online payment. Payments already made stay in the ledger, and refunds for them are then done in the provider's portal.
