How to run a team

A tag for the team, a segment that follows it, a weekly training for that segment, attendance after each session, and one email to everyone on the team.

On this page

A team in Clubroom is four basics put together. Set them up once and the team runs itself:

  • A tag says who's on the team.
  • A segment keeps that list up to date.
  • An event series puts the trainings in the calendar.
  • A broadcast reaches everyone on it.

The example is a junior team, U13, that trains on Tuesdays.

1. Make the tag

  1. Go to Settings › Members.
  2. Under Tags, click New tag.
  3. Type "U13", pick a colour and click Add tag.

Only your team of admins sees tags, never the members.

2. Tag the players

  1. Go to Members.
  2. Tick each player, or the box at the top to pick the whole page.
  3. In the bar that appears, click Add tag and choose "U13".
  • One member: Add tag on their own page.
  • Importing: a "Groups" or "Hold" column becomes tags on its own. See Import your members.

3. Save the segment

  1. On Members, pick "U13" in the tag filter (it says All tags until you choose).
  2. Click Save as segment in the page's header.
  3. Name it "U13" and click Save segment.

A segment saves the filter, not today's list: tag a new player tomorrow and they're in it, and in everything that uses it.

4. Add the weekly training

  1. Go to Events and click New event.
  2. Title it "U13 training" and set when it Starts.
  3. Turn on Repeat weekly: Every how many weeks 1, On Tuesday, and Ends On a date, with the season's last training as the Last date.
  4. Under Who it's for, choose A segment and pick "U13".
  5. Keep Email an invite on if players should get an email to answer, and click Create event.

Every date is listed under Dates in this series. Players answer going, maybe or can't go from the email.

5. Mark who came

  1. Open the training on Events once it has started.
  2. In the Answers table, set each row's Attendance to Came, Didn't come or Not marked.

The page counts how many came of those who said they were going.

6. Email the team

  1. Go to Broadcasts and click New broadcast.
  2. Under To, pick the "U13" segment.
  3. Write the Subject and Message, and click Send me a test to check it in your inbox.
  4. Click Send, then Send now.

Members who said no to club news are left out, and the composer says how many.

7. Let new players join

A join link for the team tags whoever joins through it with "U13".

  1. Go to Settings › Members.
  2. Under Join links, click New link.
  3. Give it a Name, say "U13 sign-up". Only admins see it.
  4. Under Tags, click Add tag and choose "U13".
  5. Optional: the Memberships it offers, a Last day or Most joins. Left empty, it offers every membership, with no end.
  6. Click Make link, then Copy link on its row, and share it with the parents.
  • New players are on the team, in the trainings and on the email list.
  • The link's row shows how many have joined.
  • After the last day, or once it's full, the link's page says it's closed.

Several teams, one join page

Instead of a link per team, the club's join page can ask "Which team?":

  1. In Settings › Members, under Custom fields, click New field.
  2. Set the Label to "Which team?" and the Answer to Single choice.
  3. Under Options, put one team per line.
  4. Turn on Members can edit it, so the join page asks it.
  5. Under Each answer puts a tag on the member, click Add tag beside each team and pick its tag.

Whoever joins gets their team's tag. If a member changes their answer later, the old team's tag comes off and the new one goes on.
