Join links and the join form

The club's join page, join links for a team or an intake, what the join form asks, birth date and gender, a "Which team?" question that tags new members, and spots with a waiting list.

On this page

New members join on their own, on the club's join page. They pick a membership, fill in the form, and land on your members list. You choose what the form asks, and you can make join links that offer only some memberships and tag whoever joins through them.

1. Share the join page

Every club has one join page. Its link is ready from the start:

  • On Home and on Memberships, click Copy join link.
  • On Members, it's called Share join link.

To see the page as a visitor does, go to Memberships and click Preview signup page. Nobody can join from the preview, and nothing is saved.

The page offers every membership type you have. An archived type leaves the page. With no types at all, the page says the club isn't taking new members online. See Collect membership fees.

A club with departments can also share a link per department, which opens the page with that department picked. See Departments and fee periods.

2. What the form asks

  1. Membership: one of your types, with its price. With departments, they pick a department first, then a membership in it, and Add another sport (or activity, or department, by your kind of club) lets them join more than one.
  2. Your name and Email. The email is where their receipt and renewal reminders go.
  3. Phone, which is optional, and Language, for the club's emails to them.
  4. Birth date and gender, if you switch them on (section 4).
  5. Your own questions, if you've made any (section 5).
  6. How you'll pay, when the membership costs something and you offer more than one way to pay.

The button says Join, Join for 300 kr., or Pay 300 kr. and join when they pay online (with your price). With online payment, the membership starts as soon as they've paid. Otherwise they're shown how to pay, get it by email too, and their membership starts once you've recorded the payment. See Take payments online.

Someone joining several departments gets Join for 400 kr. with the total, then a Pay for button per membership on the next screen.

A join link is a sign-up page for one group, such as a team or this autumn's juniors.

  1. Go to Settings › Members.
  2. Under Join links, click New link.
  3. Give it a Name, say "U12 autumn intake". Only your team sees it.
  4. Optional: a Heading, shown instead of "Join" and your club's name, and an Intro under it.
  5. Under Memberships, pick the ones it offers. Pick none to offer every membership on your join page.
  6. Under Tags, click Add tag and pick the tags everyone who joins through it gets.
  7. Optional: a Last day, after which it closes, and Most joins, after which it's full.
  8. Click Make link, then Copy link on its row, and share it.

Each row shows how many have joined, and whether the link is Open, Off, Closed or Full. Under More, Preview shows the page, and Switch off pauses the link until you Switch on again. Someone who opens a link that isn't open is told it's closed and to ask the club, without the reason.

Deleting a link doesn't touch the members who joined through it: they stay members, with their tags.

4. Ask for birth date and gender

Your yearly member count to CFR needs each member's birth date and gender. See Report your member numbers to CFR.

  1. Go to Settings › Members.
  2. Under Birth date and gender, switch on Ask for birth date and gender on the join form.

Members can always leave them out. A club created as Rowing, Sailing, Football, Tennis and padel or Other sport has the switch on from the start. Other clubs turn it on when they need it. Either way, your team can fill both in on member pages.

5. Add your own questions

Custom fields from Settings › Members go on the join form when they're Required or Members can edit it:

  • Required: the form can't be sent without an answer.
  • Members can edit it: it's asked on the join form, and members can change their answer later from their update-details link.

A field with neither switch stays with your team, and the form doesn't ask it. The form asks fields in the order they're listed in settings. See Tags, custom fields and segments.

6. Ask "Which team?" and tag the answer

Instead of a link per team, one join page can ask which team and tag each new member with theirs:

  1. Under Custom fields, click New field.
  2. Set the Label to "Which team?" and the Answer to Single choice.
  3. Under Options, put one team per line.
  4. Switch on Members can edit it, and Required if everyone must pick one.
  5. Under Each answer puts a tag on the member, click Add tag beside each team and pick its tag.
  6. Click Add field.

Whoever joins gets their team's tag, and with it the team's segment, trainings and emails. If they change their answer later, the old tag comes off and the new one goes on. How to run a team puts it all together.

7. Spots and a waiting list

A membership type can have a number of spots. Open the type on Memberships, open Advanced, and fill in Spots on this type under Spots and waiting list; leave it empty for no limit.

  • A spot is held by every member on the type whose membership hasn't ended and isn't lapsed. New and pending members hold theirs while they pay. An open offer from the waiting list holds one too.
  • The Members column on Memberships shows spots taken out of spots, like 8 / 10, and Full when none are left.
  • When every spot is taken, the join page shows the type as full.

With Waiting list on, a full type takes sign-ups to its list instead, and the join page says Full · Waiting list:

  • Most on the list: sign-ups stop at this number. Lowering it, or lowering Spots on this type, takes no one off.
  • Time to answer: how long someone offered a spot has to take it, from 1 to 21 days. They get a reminder the day before it runs out.
  • Offer spots: When you choose leaves it to you, with Offer spots on the type's list under Members › Waiting lists. Automatically offers a freed spot to the next in line at once.

While anyone waits, a freed spot is theirs before a newcomer's, so the join page keeps showing the type as full.

8. Limit a type to certain ages

A junior type can be for ages 6 to 17. Open the type on Memberships, open Advanced, and fill in From age and Up to age under Who it is for. Leave a field empty for no limit.

  • Age is counted on the day a period starts. Someone who turns 18 in March keeps the junior period they paid for.
  • The join page shows the ages under the type, like For ages 6–17. Joining needs a birth date for a type with an age limit, and a type that doesn't fit the birth date is refused with a message to pick another membership.
  • When they no longer fit sets the type members move to. The default, Stay on this type, moves no one. The move happens at the next renewal, and When a member outgrows their type shows who it will move.
