Parents who pay for their children

Set a payer on a member, such as a parent, so bills, reminders and receipts go to them. One at a time, many at once, or from an import.

On this page

A child is the member, but a parent pays. Set the parent as the member's payer, and the money emails go to the parent while the child stays on your members list as the member.

1. Set a payer on one member

  1. Open the member under Members.
  2. In the Paid by panel, click Add payer.
  3. Fill in the Payer's email, their Name, and a Phone if you have it.
  4. Under Emails they get, pick one:
  • Payment emails: bills, reminders and receipts. The member gets everything else.
  • Payment emails, and the rest as a fallback: also everything else, when the member has no email of their own. This is the default.
  1. Click Save.

If the payer's email belongs to one of your members, they're linked as that member. Otherwise the payer is kept as a contact, not a member. A member can't be their own payer, and two members can't pay for each other.

The payer's own member page shows who they pay for under Pays for, with a link to each child. Change the payer any time with Change in the Paid by panel.

2. Set a payer on many members at once

Handy for siblings:

  1. On Members, tick each child.
  2. In the bar that appears, open More and click Set payer….
  3. Fill in the payer, and click Set payer.

The payer themselves, and anyone who pays for them, are skipped.

3. Bring payers in with an import

When you import members, the column matching step asks Does someone else pay for some members, like a parent? Click Match payer columns. Match your file's columns to Payer's name, Payer's email and Payer's phone. The payer's email is what makes them the payer. A child who has a payer doesn't need an email of their own. See Import your members from another system.

4. Who gets which email

  • Money emails go to the payer: the welcome with its pay button, payment reminders, renewal links and receipts. See Renewals and reminders.
  • Everything else, such as events, broadcasts and data requests, goes to the member. It goes to the payer only when the member has no email and the payer gets Payment emails, and the rest as a fallback.

Emails go per member. A parent with two children gets one reminder for each.

5. Find who's paid for

On Members, open More in the page header and click Paid by someone else. The list shows only members with a payer.

6. Remove a payer

On the member's page, open More in the Paid by panel and click Remove payer. The member pays for themselves again.

  • A payer who isn't a member is removed from your contacts, unless they pay for someone else too.
  • A payer who is a member stays a member.
  • If the member has no email, nobody gets their payment emails until you add one. Add an email on the member, or a new payer.

Payments themselves work as usual. See Collect membership fees.
